SafeSequence LTD ("we," "us," or "our") is committed to protecting the privacy and security of our clients, website visitors, and their employees. This Privacy Policy outlines how we collect, process, and protect data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Information We Process

We process data across two distinct areas: when you visit our public website, and when you utilize the SafeSequence platform as a client.

  • Website Visitor Data: When you browse our site or request a pilot, we collect Identity Data (name, job title), Contact Data (business email, company name), and Technical Data (IP address, browser type, usage metrics via Microsoft Clarity and Google Ads).
  • Client Account Data: Names, billing information, and access credentials of the administrative users operating the SafeSequence portal.
  • Operational Telemetry (Platform): Raw POV video and audio footage uploaded by clients to generate compliance documentation.

2. Cookies and Third-Party Tracking

To optimize our website performance and marketing, we utilize essential and analytical tracking technologies, strictly subject to your consent via our cookie banner:

  • Squarespace: Essential cookies to run the functional infrastructure of the website.
  • Microsoft Clarity: Behavioral metrics and session replays to improve our user interface. This script only fires if you explicitly grant consent.
  • Google Ads: Tracking pixels to measure the conversion performance of our targeted B2B advertising campaigns.

3. Automated Redaction & Data Minimization

In accordance with ICO guidelines, we apply aggressive Data Minimization techniques at the point of ingestion for all Operational Telemetry. Before any documentation is generated, our processing nodes automatically apply:

  • Visual Redaction: Algorithmic blurring of human faces, company name badges, and ID lanyards.
  • Audio Redaction: Named Entity Recognition (NER) to isolate and mute spoken names or identifiable personal references from the audio track.

4. Legal Basis for Processing

We process Website Visitor and Client Account Data to fulfill our contractual obligations (Article 6(1)(b) UK GDPR) and for our legitimate interests in marketing our services (Article 6(1)(f)). We process Operational Telemetry strictly as a Data Processor on the instructions of our clients, whose lawful basis typically relies on compliance with legal Health & Safety obligations (Article 6(1)(c)) or Legitimate Interests (Article 6(1)(f)).

5. Data Retention Limits

To prevent the unnecessary accumulation of personal data, SafeSequence enforces strict automated purging protocols:

  • Raw Footage: All unredacted video and audio files are permanently deleted from our servers 30 days after upload.
  • Processed Artifacts: The resulting redacted videos and generated safety documents are retained in the secure Quarantine Bucket until the client terminates their subscription.
  • Website Data: Analytical data is retained only as long as necessary to fulfill the purposes we collected it for, typically no longer than 12-14 months.

6. Your Data Protection Rights

Under UK GDPR, you have the right to access, correct, erase, or restrict the processing of your personal data. You also have the right to withdraw your consent for website tracking at any time.

Note for Platform Users: Because SafeSequence acts as a Data Processor for operational footage, employees wishing to exercise these rights regarding video footage should contact their employer (the Data Controller) directly. SafeSequence provides tools to our clients allowing them to easily fulfill these requests.
